Work details
- Manage and organize the executive’s schedule, including arranging meetings, appointments, and travel plans.
- Handle correspondence, emails, and phone calls in both Japanese and English.
- Prepare reports, presentations, and other documents as needed.
- Maintain and organize files, records, and documentation.
- Plan and book travel arrangements, including flights, accommodations, and transportation.
- Prepare travel itineraries and ensure all travel-related documents are in order.
- Arrange and coordinate meetings, conferences, and events.
- Prepare agendas, take minutes, and follow up on action items.
- Liaise with internal and external stakeholders to ensure smooth communication and coordination.
- Assist with personal tasks, such as paying bills and running errands.
- Provide support in adjusting to the local culture and environment.
- Help with language barriers and act as a cultural liaison.
- Serve as a point of contact between the executive and various departments, clients, and partners.
- Translate documents and conversations as needed.
- Handle any additional tasks or projects assigned by the executive.
- Maintain confidentiality and discretion in all matters.
- Ability to handle high-pressure situations and work in a fast-paced environment.
- Willing to do occasional travel and follow flexible working hours
- Other tasks as assigned.
- At least a diploma degree in finance, accounting, business administration, management, or a related field is required.
- More than 2 years secretary or personal assistant experience (administrator/HR generalist or other roles with similar)
- Fluent in Japanese and English (spoken and written).
- Excellent organizational and time management abilities.
- Strong communication and interpersonal skills, polite.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Basic financial skills, including expense tracking, budgeting, and financial reporting, are a plus.
- Ability to work independently and handle multiple tasks simultaneously.
- Cultural Awareness: Deep understanding of Japanese culture and business etiquette.
