Work details
- Maintain the Director's agenda and schedule appointments, meetings, and conferences
- Attend meetings and keep minutes of meetings
- Handle and prioritize all outgoing and incoming correspondence
- Communicate with other departments
- Make travel arrangements for in-office professionals and special visitors
- Open and screen mail, responding to correspondence and inquiries
- Prepare program materials and resolve issues with equipment, form completion, and follow-up as appropriate
- Ensure compliance and operational risk controls following institutional and regulatory standards and policies
- Maintain the institution's internal control standards, including the timely implementation of internal and external audit points and addressing any issues raised by external regulators
- Perform other related duties as assigned
- Bachelor’s degree in Secretarial Studies, Administration, or a related field
- Minimum business-level Japanese with JLPT N1 or JLPT N2 certification
- 2-3 years of experience as a Secretary or Executive Assistant to Japanese expatriates
- Tough personality, strong ability to work in fast-paced and highly dynamic environments
